Although this will certainly give you the data you need, best practice stipulates that practice staff print the updated On-hand Inventory Report from the AccuSite portal.

AccuVax is a vaccine storage and inventory management system. The system is comprised of an enclosed storage-freezer system and AccuSite—information management portal. The enclosed robotically automated inventory management system rotates and presents vaccines that will expire soonest first. Through AccuSite, private practices can customize automatic alerts related to inventory and temperature thresholds. The system streamlines VFC compliance reporting; its data and other digital systems are HIPAA-compliant (New Jersey Chapter, American Academy of Pediatrics, n.d.). AccuVax’s growing installation base indicates that increasing VFC and vaccine manufacturer compliance requirements is a growing concern among private medical practices.

The Vaccine Inventory Cycle
Delivery: Incoming vaccines are delivered
Storage: Vaccines are stored
Administration: Vaccines are administered
Vaccine Delivery
Upon delivery, the vaccines are deposited into the system. A depositing tray can accommodate up to 10 vials, pre-filled syringes at a time.
Vaccine Integrity
During onboarding and training, team members at the medical practice, receiving vaccine deliveries is presented first.[1] Training vaccine management this way emphasizes the fact that the practice prioritizes the preservation of the vaccine inventory’s integrity. Up until the preparation of the vaccine for administration, security the vaccine inventory is the practice’s highest priority.
The VFC distributes vaccines at a purchase cost of $4 billion each year. 35 percent of vaccines distributed are wasted due to improper storage while in transit.[2] When vaccines are stored at the wrong temperatures, re-vaccination for those that received the improperly stored vaccine erodes patient confidence, as private practices are put into the embarrassing situation of having to recall patients.
VFC Requirements
Each State in the United States administers its allotted VFC resources independently. In the state of California, the California Department of Public Health’s Immunization Branch provides to the State’s VFC providers training material and onboarding material, important news, and updates, as well as other critical communications via the Immunization Branch’s information portal and service, EZIZ. In the State of Oregon, the Oregon Health Authority administers its VFC resources via the Oregon Immunization Program. California’s VFC Program requires practices to list the specific team member responsible for “handling shipping issues.” Bear in mind that shipping issues may include:
Lost shipments
Delayed shipments
Deliveries that arrive in substandard storage
Shipments and deliveries missing vaccines
Shipments and deliveries that include too many vaccines
Vaccine Delivery and Documentation
Upon delivery of the ordered vaccine inventory, important hardcopy documentation that lists tracking and vaccine identification data must be filed and stored at the office.
AccuVax: Loading and Storing
After securing and organizing the paper documentation that accompanied the vaccine inventory delivery and shipment, —which lists tracking and vaccine identification data— the vaccine doses must be loaded into the AccuVax system following the procedures listed in the AccuVax user manual.
AccuVax loading features:
10 vials or prefilled syringes at a time may be loaded
A limited number of non-vaccine types may be loaded
Barcode recognition of all vaccine/non-vaccine boxes, vials, prefilled syringes
